Add Planning & Absence
What: How to add planning, both on projects and internal activities and absence.
This might help if you are wondering:
- How to plan time on a project
- How to get an overview of a co-workers occupancy
- How to plan more effectively
- How to bulk plan on several employees at once
Add Planning:
Add planning in the Project view:
- Click on "Add row" or on the "+" beneath the week you want to add planning on.
- Select co-worker and activity and add row.
- Choose the week you want to plan on and insert the hours, either for the whole week or per day, choose if it should be visible as preliminary and add an optional comment. If the employee already has a row under the project, you just skip the first step and click on the week you want to add planning on.
*If the project you want to add planning to is not seen in the list, you click on "New" in the top right corner and choose project, co-worker and if a specific activity, and the project will then be added to the list. This is because only projects with planning are shown.
Add planning in the Employee view:
- Click "Add row" or on the "+" beneath the week you want to add planning on.
- Select project and activity and add row.
- Choose the week you want to plan on and insert the hours, either for the whole week or per day, choose if it should be visible as preliminary and add an optional comment. If the employee already has a row for the project you want to plan on, you just skip the first step and click on the week you want to add planning on.
Add Internal time & Absence:
Internal Time and Absence
- To add internal time, absence, or other non-project-related time, click “add row”
- Select "Internal and Absence" and then choose the activity. The hours are then inserted in the same way as the project planning.
Bulk Planning
- To plan for several employees over a period: click “new” in the top right corner.
- Choose project, employees and activity (optional - perhaps you want different activities for the employees and therefore you can skip this part now and choose activity later for each employee)
- You can choose per day and mark if it should be preliminary.
- By default, you select the number of weeks to bulk plan. If it only concerns one week, choose the current week as start and end and plan per day. You can also bulk plan on a specific day ones a week but for several weeks forward, then choose the period and then select per day and choose the hours for that specific day.
*Note that you must set an end date, otherwise the planning will continue to repeat itself forward.
Bulk Planning Internal Activities
- If you want to bulk plan an internal activity (e.g., training), don’t select a project – only the activity.
Copy, duplicate & move planning:
- If a person should be planned with the same hours for several weeks ahead, you can drag the edge of the week to extend it. You can also move all connected planned hours from one week to another by holding the planning and dragging it to the left/right depending on where you want to move it.
- If you want to move planning from one employee to another, you hold the planned hours and drag them to the other person. The activity will then be transferred to that co-worker instead and disappear from the other.
- If you want to copy a row of planning and add it to another employee, you hold "option" on the keyboard and then move the row to the other employee. You can then change the activity for the other person without changing the activity for the first person.
*You cannot transfer planning in between projects, only employees.
Split Planning
- If you want to split the planning, click in between the two weeks you want to split and click on the scissor. One half will then create it's own row which will be independent, so you can change to another activity. This new row can be copied, duplicated and moved like any other row, and transferred to another person if desired.
